1 What is a view-only access license? top
A A view-only access license enables a user to access the contents of any Globodox DB for viewing only. A user logged in with a view-only access license cannot perform any admin actions or any other action which can cause a change to the contents of a Globodox DB.
2 Why do I need a view-only access license? top
A

In many usage scenarios only some users need to have the ability to scan or add documents to a Globodox DB. All other users only need to be able to find and view the scanned/added documents. In such a situation an organization can purchase full-access licenses for users who need to be able to scan and add documents and view-only access licenses for users who need to be able to find and view the scanned/added documents.

Another scenario would be when you want to give access to some documents to your customers or suppliers. You can purchase view-only access licenses for such users.

View-only access licenses are priced much lower than full access licenses. Therefore in both the above scenarios you can save by purchasing view-only access licenses for users who do not need to scan and add documents.

A view-only access license user can create and run queries (but not save them), view records and documents, print records and documents.

8 Can the view-only access license be used to login using the web browser based interface of Globodox (Globodox Web Client)? top
A Yes, the view-only license can be used to login via the desktop client or the web browser based client of Globodox.
9 Are view-only access licences concurrent? top
A Yes Globodox licenses (both full access and view-only access) are concurrent licenses. This means that you only need to purchase as many licenses as the maximum number of users that are likely to be simultaneously logged to Globodox at any given time. For example if you have 60 users but do not expect more than 20 users to be simultaneously logged to Globodox at any given time then you only need to purchase 20 licenses (out of these 20 licenses at least one license should be a full access license). You will still be able to define 60 users with their own user names and passwords.
10 How can a user log in using a view-only access license? top
A The login dialog/page of Globodox displays an option labeled "Login with view-only access". If a user selects this option at the time of logging in then Globodox logs in the user using a view-only access license.
11 Can the administrator specify a list of users who must only be allowed to login using a view-only access license? top
A Yes. The administrator (admin) can use Globodox to mark any user as a "view-only access user". Globodox will then always logon this user using a view-only access license (even when the user does not select the "Login with view-only access" option on the Login dialog/page).
12 What happens if a user selects the "Login with view-only access" option but a view-only access license is not available? top

If a users selects the "Login with view-only access" option and then logs in…

Globodox will check if a view-only access license is available
If a view-only access license is available then Globodox will mark that license as used and log in the user, using that view-only access license.

If a view-only access license is not available (or all available view-only access licenses have been marked as used) then Globodox will check if a full access license is available.

If a full access license is available then Globodox will temporarily convert it into a view-only access license. Globodox will then mark the license as used and log in the user, using the temporary view-only access license.

If no licenses are available then Globodox will inform the user that she cannot be logged in at the moment because the maximum allowed number of users are already logged in.

13 If a user logged on using a view-only access license is specifically allowed some security permissions, can the user perform the tasks related to those permissions? top

For a user to be able to perform any action both the license she has logged in with and her security permissions must allow that action.

Some examples…
If a user is allowed the "view document" permission for a document and the user has logged in with a view-only access user license then the user will be allowed by Globodox to view that document.

If a user is denied the "view record" permission for a record and the user has logged in with a view-only access user license then the user will not be allowed by Globodox to view the record.

If a user is allowed the "delete document" permission but the user has logged in with a view-only access user license then she will not be allowed by Globodox to delete any document.

14 If a user is logged on using a full access license then is she allowed to perform any action regardless of security permissions? top

No, the security permissions also apply. So for a user to be able to perform any action both the license she has logged in with and her security permissions must allow that action.

For example…
If a user is not allowed the "delete document" permission, then even if the user has logged in with a full access user license, she will not be allowed by Globodox to delete any document.
